Fighter application privacy notice
Version: mtgp-fighter-privacy-2026-10-29-v1
Who is responsible for your information
Jaycorp Ltd, Malta company C98717, operates mtgp.mt for MTGP Malta and is responsible for the personal information used to handle fighter applications.
Contact address: Malta Fight Co. at Best Gyms Sliema, 1st Floor Sliema Wanderers FC Sports Complex, Triq Censu Xerri, Sliema, SLM3065, Malta.
For privacy questions, requests or concerns, email calvin@mtgp.mt.
This notice covers the “Fight With Us” application and initial matchmaking process. Applying does not confirm a fight, a place on an event or permission to participate. Selected fighters receive separate information about contracts, registration and any medical-clearance requirements.
What information we use
We use the information provided by you or your parent/legal guardian, including your name, contact details, gym or team, discipline, competition weight, sporting experience and fight record. This can also include a supplied photograph, social-media handle, previous MTGP participation and correspondence about the application.
We record the application reference, submission time and the versions of notices, terms and declarations acknowledged. Security checks also use limited technical information, such as IP address, browser/device signals and submission timing, to help prevent spam and misuse.
The form identifies required and optional fields. Without information needed to assess or contact you, we may be unable to consider the application. Please provide accurate details and tell us if something changes. Do not include medical records, injury reports, identity documents or unnecessary information about other people in the general application.
Age and applications for young fighters
Our application policy is:
- Under 15: applications are not accepted.
- Aged 15–17: a parent or legal guardian submits and acts as the main contact.
- Aged 18 or over: the fighter applies for themselves.
Age is calculated in completed years on the submission date in Malta. For this application rule, a 29 February birthday falls on 1 March in a non-leap year. These are application rules, not a decision about eligibility to fight.
Under our policy, the fighter's full date of birth is used to calculate age and is then discarded from the enquiry record. We retain the age-check result, application route, check date and policy version. We do not collect a guardian's date of birth.
For a young fighter, we use the submitting adult's name, contact details, relationship and declaration of adulthood and authority. A declaration alone does not prove authority or give permission to fight. Age and appropriate authority are checked again before identifiable matching information is disclosed, a profile is published or participation proceeds. Young fighters retain their own privacy rights.
Why we use information
We use applications to assess suitable matches, respond to applicants and discuss relevant MTGP Malta participation opportunities, including later events during the retention period below.
Our legal basis for this initial assessment is our legitimate interest in organising suitable matches and responding to voluntary fighter applications, balanced against your privacy and, for young fighters, their particular interests and protection. We also rely on legitimate interests for necessary security and handling complaints or legal claims. You can object to processing on this basis.
Where later processing is necessary to take contractual steps you request or perform an agreement with you, we use that contractual basis. We use information required by an applicable legal obligation on that basis. Optional public-profile and photograph publication requires separate consent. A privacy acknowledgement is not blanket consent to every use.
Who sees the application and what gyms receive
Applications are handled privately by authorised organisers and matchmaking staff who need them for this purpose. They are not automatically public or available to every gym, sponsor or member of the event team.
Our matching process starts with general bout requirements that do not reasonably identify the fighter. Removing a name alone does not make a detailed record anonymous.
Before identifiable information goes to a potential opponent gym, we explain the named gym, receiving and access countries, purpose and exact information proposed, and request the appropriate specific approval. We also complete recipient and international-transfer checks before release. For a minor, the relevant adult's authority must be checked.
The normal proposed disclosure is limited to name, age and relevant sporting experience. It excludes the full application, contact details, photograph and medical documents. A different recipient or material change needs a fresh review and approval. Declining a disclosure may prevent that particular match proceeding; it does not automatically rule out other opportunities.
Photographs, profiles and marketing
A photograph supplied with an application is for private application handling. It is not automatically published or sent to opponent gyms.
After an opponent and event participation are confirmed, we ask separately about the proposed public profile and photograph. Optional publication relies on your separate consent, with appropriate arrangements for a minor. You can withdraw consent by contacting us; this does not affect earlier lawful use. We explain the proposed audience and use when asking, including any practical limits on removing copies already shared publicly.
Applying does not subscribe you to general marketing or authorise unrelated advertising. Acceptance of enquiry terms, a guardian declaration, a gym-disclosure approval and public-profile consent are separate decisions.
Service providers and international handling
We use providers supporting the website, private event-management system, hosting, storage, email and security. The receiving system is FightNight Manager on Lovable Cloud, with its Supabase database located in Ireland. The form's spam protection uses Cloudflare Turnstile; see Cloudflare's privacy information.
Suppliers and potential opponent gyms may operate outside the European Economic Area. Ireland database hosting does not mean every support, email or other service activity stays in the EEA. Before a proposed overseas gym disclosure, we explain the destination and relevant transfer arrangements; we do not release information unless the necessary protections are in place. Your approval alone does not replace those checks.
For information about the providers, destinations or safeguards relevant to your application, or to request information about applicable safeguards, contact calvin@mtgp.mt. We may also disclose limited information to advisers, insurers, authorities or courts where necessary for a legal obligation or claim. Participation in the same sporting community does not automatically permit separate use by Malta Fight Co.'s training business, Fight Talk or sponsors.
How long we keep information
Our application-retention policy is to review applications annually and delete an inactive application and its application photograph after two years without meaningful contact. The period starts at submission and restarts only after a substantive exchange with the fighter or authorised guardian about a genuine participation opportunity or an update to the application. Automatic emails and internal reviews do not restart it.
You can ask to withdraw your application or have it removed earlier. We retain only specific records still necessary for an agreed participation arrangement, legal obligation, a dispute or justified evidence of an approval or authority check. Those records have separate purposes; they do not justify keeping the whole application indefinitely. Published profiles and selected-fighter records are reviewed separately from inactive applications.
The policy covers working copies and exports as well as the main record. Technical logs and provider backups have separate retention arrangements; deleting an application does not necessarily remove every backup copy immediately. The full date of birth is excluded from the retained application under the age policy above.
Your rights
Depending on the circumstances, you can request access, correction, deletion, restriction or a portable copy of your information. You can object to processing based on legitimate interests and withdraw consent for a use that relies on it. A parent or guardian acting for a young fighter may be asked to demonstrate their authority.
Email calvin@mtgp.mt. We normally respond within one month and explain any lawful extension or limitation. We may request proportionate information to confirm identity or authority where needed.
You can complain to Malta's Information and Data Protection Commissioner or another competent data-protection authority.
Age routing and spam checks can be automated; they do not confirm sporting eligibility or select an opponent. Match assessment and participation decisions require organiser review. We will date updates to this notice and explain a material new use before it starts where required.
VIP enquiry privacy notice
Version: mtgp-vip-privacy-2026-10-29-v1
Who looks after your information
Jaycorp Ltd, Malta company C98717, operates mtgp.mt for MTGP Malta and decides how information from this VIP enquiry form is used.
Contact address: Malta Fight Co. at Best Gyms Sliema, 1st Floor Sliema Wanderers FC Sports Complex, Triq Censu Xerri, Sliema, SLM3065, Malta.
For privacy questions or requests, email calvin@mtgp.mt.
What we collect
We collect the details you enter: your name, email address, mobile number and group size, plus any optional company name, preferred contact method, whether you have already booked, and occasion, drinks, seating or other preferences. We also use the correspondence you have with us about the enquiry. We do not ask for your booking reference, payment-card details, identity documents or guests' names through this form.
Fields marked with an asterisk are required by the form. Without those details we cannot process an online enquiry. The other fields are optional.
We also record an enquiry reference, submission time and the privacy-notice version you acknowledged. Security checks process technical information, including IP address and browser/device signals, to help prevent spam and abuse.
Please use your own contact details and keep requests general. Do not include medical information, allergies, disability details, identity documents or private information about other people. If you need an accessibility or other sensitive arrangement, ask our team how to discuss it through an appropriate separate process.
Why we use it
We use your information to answer your enquiry, discuss availability and preferences, and help organise your group's proposed VIP arrangements.
Where you are enquiring about a booking for yourself, we use information necessary to take the steps you request before entering a contract. Where you act for a company or another organiser, we rely on our legitimate interests in answering that business enquiry. We also rely on our legitimate interests in protecting the form against misuse and handling necessary complaints or legal claims. Applicable legal obligations may require us to retain particular records.
Submitting an enquiry does not confirm a reservation, drinks order, ticket or payment. Our team will discuss and confirm any arrangements separately.
Who can see it
Enquiries are stored privately in our event-management system, FightNight Manager. Access is limited to authorised Owners and specifically authorised VIP enquiry reviewers, including our VIP Manager, Raquel Bywater. Our enquiry reviewers access the information from Malta or other European Economic Area countries.
The VIP Manager's notification contains an enquiry reference and a sign-in link, rather than your name, contact details or request text. Opening the enquiry requires an authorised account; the reference alone does not grant access.
Providers supporting hosting, private storage, security and communications handle the information needed for their services. We may disclose limited information where required by law or necessary to handle a legal claim. Your enquiry is not automatically shared with sponsors, opponent gyms, Fight Talk or Malta Fight Co.'s training business for their separate purposes.
Service providers and international handling
We use Lovable Cloud for the private receiving application, with its Supabase database in Ireland. Notification delivery uses Lovable's managed email service and sends the reference and sign-in link to our VIP Manager's Gmail mailbox.
If you choose WhatsApp follow-up, our VIP Manager uses ordinary WhatsApp, with chat backups in Google Drive. This creates a separate copy of the conversation from the enquiry stored in FightNight Manager. You can choose phone or email follow-up instead. Choosing a contact method does not subscribe you to marketing.
The form uses Cloudflare Turnstile for spam protection. Cloudflare processes technical signals to secure the form and also uses signals to improve its bot detection under its own privacy information. See Cloudflare's Turnstile privacy notice.
Although our enquiry reviewers work from Malta or other EEA countries, the services supporting hosting, security, email, messaging and backups can involve processing outside the EEA. Ireland database hosting does not mean every copy or service activity stays in Ireland. For questions about the recipients, countries and safeguards relevant to your enquiry, or to request information about applicable safeguards, contact calvin@mtgp.mt. Acknowledging this notice is not consent to unrestricted international transfers.
How long we keep enquiries
Our retention rule is to delete your enquiry six months after the event or closure of your enquiry, whichever is later. For an enquiry without a relevant event, the period runs from its closure. If the event is cancelled, its cancellation date takes the place of the event date.
We retain only particular records that are still needed for an agreed booking, a legal obligation or a dispute, for as long as that specific need continues. Booking records follow the separate information given when a booking is agreed. Keeping a necessary booking or dispute record does not justify retaining every optional preference from the enquiry.
The rule covers enquiry correspondence as well as the form record. Messages and cloud backups are separate copies: deleting an enquiry from FightNight Manager does not automatically delete a WhatsApp conversation or Google Drive backup. Technical security records and backup copies have separate provider retention arrangements. You can contact us about deletion of your information and any copies that remain.
Marketing and your choices
We do not use this enquiry to subscribe you to marketing or publish your details. Choosing phone, WhatsApp or email does not change that. The privacy checkbox confirms that you have read this notice; it is not consent to marketing or a waiver of your rights.
Your rights
Depending on the circumstances, you can ask to see, correct, delete, restrict or receive a portable copy of your information. You can object to processing based on legitimate interests. Where a separate use relies on your consent, you can withdraw that consent without affecting earlier lawful processing.
Email calvin@mtgp.mt. We normally respond within one month and explain any lawful extension or limitation. You can also complain to Malta's Information and Data Protection Commissioner or another competent data-protection authority.
We will date changes to this notice and explain any material new use before it begins where required. This notice covers VIP enquiries; fighter applications, ticket sales and event photography have their own relevant information.
